Getting started
Prepare your guest list in Porta Dashboard, then use Porta Frontline on your iPads to welcome guests and record arrivals.
- Sign in and create your Event. Open Porta Dashboard and sign in with the email address registered for your Account. Enter the Access Code sent to your inbox, then choose Add New. Add the Event name, dates and time zone. You can also add a venue and Event Logo.
- Prepare your Guest list. Add Guests individually or choose Import in Guests. Upload your spreadsheet, confirm its header row, match its columns to Porta's fields, resolve any issues and check Preview. A new import replaces the Event's existing Guest list. Edit an individual Guest record for a small correction.
- Activate a plan and connect your iPads. Open Settings → Service Plan to choose and pay for a plan, unless a Complimentary plan already applies. An unpaid Event can be prepared, but cannot check Guests in. Once activated, open Settings → Staff Access and scan the Staff Access QR with Porta Frontline, or enter the Staff Access Code. Give each iPad a distinct Station Name. Connect each iPad to the internet and wait for Ready | Online before the Event begins. Keep Staff Access credentials within your Event team.
- Welcome your Guests. Search for a Guest in Frontline, select their record and use the attendance controls to record arrivals. You can also scan that Guest's Porta QR if you have provided one. Connected iPads and Dashboard update automatically. A prepared iPad can continue from its saved list when offline during the scheduled Event period. Reconnect and finish syncing before the Event's upload deadline.
- Review your Event. Use Overview to follow arrivals and Station status. Open Analytics for attendance reporting and export the results to Excel or CSV.
Frequently asked questions
How do I get a Porta Account or install Frontline?
Use public signup when it is enabled on the website, then verify your email. If your Account already uses Porta, ask its Owner to add you as a Manager. Until the public App Store listing is available, contact Support about Frontline installation; this page does not promise it is already listed. Existing pilot Accounts keep their agreed access.
What can I do before buying a plan?
Prepare one unpaid Event at a time, import a spreadsheet or add Guests individually, and review or export your list. Real-event Staff Access and check-in need an activated plan. Use the separate Demo for practice with fictional Guests; its samples cannot be imported, added or edited. The Owner can reset it.
Where do I choose a service plan?
Open Settings → Service Plan. The Account Owner can view the service plans, choose a currency and complete Checkout. Prices are fixed for each offered currency. Managers cannot purchase plans or view financial records. See Service plans for details when purchasing is available.
Does every Guest need an email address or phone number?
No. You can check Guests in by searching for their names. Email and phone fields can remain blank when your Event does not need them.
Can several iPads work at the same Event?
Yes. Authorise each iPad with the Event's Staff Access Code or QR and give it a distinct Station Name. Connected iPads receive shared updates automatically. An offline iPad receives other Stations' changes after it reconnects.
Why are some fields missing from the Frontline Guest table?
Optional columns stay hidden while every Guest has a blank value in that field. They appear when a value is added. The fields remain available in Add Guest and Edit Guest. Email and phone are available in Guest details and search rather than as Frontline table columns.
Are the Staff Access QR and Guest QR the same?
No. The Staff Access QR authorises an iPad to work at your Event and is for your team. A Guest QR identifies one Guest record for check-in. Keep Staff Access credentials private and do not send them to Guests.
Can Porta email invitations or QR tickets to Guests?
Guest invitation and QR-ticket emails are not included in Porta Essential. You can copy or download an individual Guest QR from Dashboard and distribute it through your own communication channel.
My Event is under Past. Can I still use it?
An Event moves to Past after its scheduled end. For commercial Events, no new check-ins are allowed after that time. Audited Dashboard Guest-detail and attendance-figure corrections remain available through the end of Day 7; check-in timestamps cannot be changed or backdated. After that, corrections need Support approval and stop by the end of Day 30. Permanently Closed means no reopening, not deletion: view/export access has its own deadline. See Settings → Lifecycle for the exact dates. Existing pilot arrangements may differ.
When must offline changes finish syncing?
For commercial Events, all iPads must reconnect and finish uploading valid pre-end Guest changes and check-ins by the end of the seventh calendar day after the Event-end date, in the Event timezone. An Event ending on 1 October must finish syncing by the end of 8 October. The Owner and Managers receive reminders at Event end and 24 hours before the deadline. Support correction access does not extend uploads. Ignoring reminders can leave offline records missing from the server; contact Support if Porta fails to sync while properly connected.
How long can I keep my Event?
Paid commercial Event history stays available for viewing/export through the end of its 12-month Event-end anniversary date. The Owner and Managers receive reminders 30 and 7 days before access ends. A 30-day recovery period follows; only the Owner can request Support-approved read-only export access for up to 7 days, never beyond the original permanent-deletion date. An unpaid Event expires after 30 days without opening or editing it, with a 7-day warning. Explicitly deleting a No Plan/unpaid Event is permanent immediately and frees the slot; it does not go into Recently Deleted.
Can I postpone an Event or request a refund?
The Owner can change dates before the Event starts, within the plan's limits; after the start, exceptional postponements require Support review. An unused purchase must start within its 12-month purchase-anniversary deadline. Porta's voluntary full-refund offer covers requests within 7 days of purchase, before Event start and with no real check-ins, subject to Support review. Mandatory statutory rights remain unaffected. Approved refunds go to the original payment method and revoke the entitlement; rescheduling may be more useful for a postponement.
Help with a problem
I cannot open Porta Dashboard
Use the organiser email registered for your Porta Account and request a new one-time sign-in code. Check the email address and junk folder. A code expires after the period stated in the message and cannot be reused.
Porta Frontline will not accept Staff Access
Confirm that the eight-digit code belongs to the intended Event, the Event has an activated plan and still permits operation, and the iPad is online for its first preparation. Ask an authorised organiser to check or regenerate Staff Access in Porta Dashboard.
The camera is unavailable
Porta Frontline can operate without camera permission. Enter the Staff Access code numerically or search for a Guest. To restore QR scanning, allow Camera access for Porta Frontline in iPad Settings.
The iPad is offline
A prepared Event supports offline operation during its permitted check-in period. Pending changes stay on that iPad until accepted by the server. Reconnect before the deadline shown for the Event. If changes cannot be accepted, keep them safe and contact the Account Owner for recovery review; retention or an exported file does not guarantee late upload. Do not erase the app or discard pending work.
